Security

CivilianOS™ is an AI Operating System built for executives who manage real organizations, real people, and real business intelligence. Security is not a feature — it is the foundation every other capability is built on.

From verified human identity at signup to governed AI workforce execution, immutable audit trails, and role-based access across every layer — CivilianOS is designed so that you are always in control of who does what, when, and why.

Secure Authentication

CivilianOS enforces secure, verified access from the moment a user attempts to enter the platform. Every login is authenticated through modern identity providers with encrypted credential handling. Human identity verification — including live selfie capture and government ID validation — is built directly into the onboarding flow, ensuring that every person inside your organization is a confirmed, verified human.

  • Email & Password (bcrypt-hashed, never stored in plain text)
  • LinkedIn OAuth (live)
  • Google, Microsoft, Apple (planned)
  • Enterprise Single Sign-On (SSO)
  • Human Verification at signup — live selfie + government ID
  • Multi-Factor Authentication (MFA) — available for organizations

Only verified humans can be granted access to your organization. AI workers are provisioned separately and operate under explicit permissions — they cannot self-authenticate.

Encryption & Data Protection

All data transmitted between users, AI workers, connected applications, and the CivilianOS platform is protected with TLS 1.3 encryption. HTTPS is enforced across every endpoint. Sensitive organizational data — including executive memory, decision history, playbooks, SOPs, and business intelligence — is encrypted at rest and in transit. We apply security headers (HSTS, CSP, X-Frame-Options, X-Content-Type-Options) across all responses.

Role-Based Access Control (RBAC)

Every user and AI worker inside CivilianOS operates within a precisely defined permission boundary. Roles are assigned per organization and enforced at the route, component, and API level. No user or AI worker can access data, workflows, or functionality outside their assigned scope.

  • Organization Owner — full control
  • Administrator — user and AI management
  • Executive — cross-org intelligence and approvals
  • Director — department-level oversight
  • Manager — team and workflow management
  • Team Member — assigned task execution
  • Contractor — scoped, time-limited access
  • Guest — read-only, invitation-based
  • AI Worker — permission-bound, human-supervised execution

Permissions are configurable per role and per individual. Administrators can restrict, expand, suspend, or revoke access at any time — including for AI workers.

AI Workforce Security & Governance

CivilianOS is the first platform to treat AI workers as governed workforce members — not open-ended tools. Every AI worker is hired, assigned, scoped, and supervised like a human employee. Organizations define exactly what each AI worker can see, do, and execute. No AI worker operates outside its assigned permissions.

  • Per-worker permission sets — department, data, and tool access
  • Human approval gates on sensitive actions
  • Workflow execution with evidence requirements
  • Escalation paths when AI confidence is low
  • AI performance tracking — accuracy, speed, hallucination rate
  • AI memory scoped per worker and per organization
  • Full audit trail of every AI action taken
  • Suspend or terminate any AI worker instantly

AI workers in CivilianOS are accountable, auditable, and replaceable — just like human employees. You are always in command.

Connected Application Security

CivilianOS integrates with your business stack through OAuth, API keys, and service accounts — all managed through the Integration Registry. Every connected application is scoped to specific organizations and users. Permissions are visible, revocable, and logged. No integration operates silently.

  • Microsoft 365
  • LinkedIn
  • Meta
  • Shopify
  • Stripe
  • QuickBooks
  • HubSpot
  • Salesforce
  • Slack
  • Notion

  • Dropbox
  • AWS
  • Microsoft Azure
  • Google Cloud
  • OpenAI
  • Anthropic
  • Google Gemini

  • Perplexity

All integrations are organization-scoped. Administrators can view, modify, or revoke any connected application at any time from the Integration Registry.

Workflow & Approval Security

Every workflow executed by an AI worker in CivilianOS is governed by a defined approval chain. High-stakes actions — financial approvals, legal documents, client communications, personnel changes — require explicit human sign-off before execution. Workflows include expected evidence, escalation paths, and fallback logic. Nothing critical executes without a human in the loop.

Audit Trail & Immutable Logging

CivilianOS maintains a complete, tamper-evident audit trail of every action taken by every human and AI worker across your organization. Every log entry includes the actor identity, timestamp, action type, affected resource, and full context. Logs cannot be edited or deleted by users.

  • User authentication and login history
  • All administrative actions
  • Every AI worker action — with inputs, outputs, and confidence
  • Workflow execution and approval decisions
  • Connected application activity
  • Permission and role changes
  • Organization and department changes
  • Security events and anomalies

The Audit Trail is available to Administrators and Executives in real time. It is the single source of truth for organizational accountability.

Executive Intelligence & Memory Security

CivilianOS stores executive memory, decision history, company playbooks, and SOPs as sensitive organizational assets. Access to these systems is restricted to authorized roles. Executive Memory is personal to the CEO and not accessible to other users or AI workers unless explicitly shared. Decision History is immutable — decisions cannot be retroactively altered.

Organizational Isolation

Every organization within CivilianOS operates in a fully isolated environment. Data, users, AI workers, integrations, workflows, knowledge, and business intelligence are scoped per organization. Cross-organization access requires explicit authorization from the Organization Owner.

  • Isolated user bases per organization
  • Separate AI workforce per organization
  • Scoped integration registries
  • Per-org knowledge, memory, and playbooks
  • Independent permission systems
  • No data bleed between organizations

Performance & Security Monitoring

CivilianOS actively monitors platform activity for unauthorized access attempts, anomalous AI behavior, workflow failures, and security events. AI worker performance is tracked continuously — including accuracy rates, hallucination detection, and task completion quality. Alerts are investigated and resolved by our team.

Infrastructure Security

CivilianOS runs on enterprise-grade cloud infrastructure with automatic failover, DDoS protection, rate limiting, and isolated tenant environments. Security headers are enforced on every response. The platform is built with a defense-in-depth architecture — multiple independent layers of protection, not a single perimeter.

Incident Response

CivilianOS maintains a documented incident response plan. In the event of a confirmed security incident affecting organizational data, we will investigate immediately, contain the threat, take corrective action, and notify affected organizations within 72 hours — in accordance with applicable law and contractual obligations.

Compliance & Security Program

As CivilianOS scales to serve enterprises, we are building toward formal compliance certifications including SOC 2 Type II and ISO 27001. Our security program includes regular penetration testing, vulnerability assessments, dependency auditing, and continuous improvement cycles. Security is reviewed at every product release.

Notifications & Transparency

CivilianOS surfaces security-relevant events directly to administrators through the Notifications Center. Suspicious login attempts, permission changes, AI worker anomalies, and integration failures are surfaced in real time — not buried in logs. You always know what is happening inside your organization.

Responsible Disclosure

We take security reports seriously and respond to every legitimate submission. If you believe you have identified a vulnerability in CivilianOS, please contact us directly.

Email security@civilianos.ai with sufficient detail to reproduce the issue. We will acknowledge receipt within 24 hours and provide a full response within 48 hours.

Our Commitment

Security is not a one-time project — it is an ongoing commitment that evolves with every feature we ship, every integration we add, and every organization that trusts us with their business.

CivilianOS is built on the belief that AI should make organizations more powerful — not more vulnerable. Every security decision we make reflects that belief. We will continue strengthening our platform, our infrastructure, and our governance practices as we grow from individual businesses to global enterprises.
